Terms of Service

By registering for or using RentZhiin ("the Platform"), you agree to be bound by these Terms of Service and all applicable Malaysian laws and regulations. If you do not agree, you must not use the Platform. These terms apply to all users including property owners, tenants, real estate agents, and contractors.

The Platform is operated by ZenZhiin Venture Sdn Bhd ("RentZhiin", "we", "us", or "our"), a company incorporated in Malaysia.

PRM is a software-as-a-service (SaaS) platform that provides tools for tenancy record-keeping, rent tracking, maintenance coordination, and document management.

PRM is a platform of record — not a financial intermediary. RentZhiin does not act as a real estate agent, property manager, financial institution, licensed moneylender, or legal advisor. RentZhiin does not hold, process, or guarantee any funds on behalf of any user. All monetary transactions occur directly between the parties involved. Rent payment references generated by RentZhiin point directly to the owner's or agency's registered bank account; no funds pass through RentZhiin systems.

You must provide accurate, current, and complete information when registering and keep it updated. You are responsible for maintaining the confidentiality of your login credentials and for all activity under your account. You must notify us immediately at support@zenzhiin.com of any unauthorised access or security breach.

You must be at least 18 years of age to create an account. By registering, you represent and warrant that you have the legal capacity to enter into a binding agreement under Malaysian law.

Access to owner features requires a paid subscription. Subscription fees are charged monthly and calculated per rentable unit or room. Current pricing is published on the pricing page and may be updated with 30 days' notice to existing subscribers; price changes will never be applied to an existing subscriber's current billing period.

Subscriptions renew automatically at the end of each billing cycle. You may cancel at any time from account settings; cancellation takes effect at the end of your current paid period and you retain full access until that date. No prorated refunds are issued for partial months except where required by Malaysian consumer protection law.

Beta programme participants receive complimentary access under separate beta terms communicated at the time of invitation. Beta access is granted at RentZhiin's sole discretion and may be modified or withdrawn at any time. Beta pricing is locked for the lifetime of the subscription for participants who convert to a paid plan before the beta programme closes.

Subscription payments are non-refundable except in the following circumstances: (a) a duplicate charge caused by a billing error on RentZhiin's part; (b) you were charged after a valid cancellation was confirmed; or (c) a refund is required by applicable Malaysian consumer protection law.

All refund requests must be submitted to support@zenzhiin.com within 30 days of the relevant charge with supporting details. Approved refunds will be processed within 14 working days.

Property owners are solely responsible for: the accuracy of property and unit listings; compliance with applicable tenancy and landlord-tenant laws including the Distress Act 1951, the Specific Relief Act 1950, and any applicable state tenancy legislation; the execution of valid, duly stamped tenancy agreements; the collection, remittance, and reporting of rental income for tax purposes under the Income Tax Act 1967; and obtaining appropriate insurance for their properties.

Owners are responsible for ensuring that the security deposit is held lawfully and in accordance with the terms agreed with the tenant. RentZhiin records deposit transactions as an audit trail only and does not hold any deposit funds.

Tenancy agreement templates provided by the Platform are general templates for guidance purposes only and do not constitute legal advice. Owners are strongly encouraged to seek independent legal advice to ensure any agreement is suitable for their specific circumstances.

Tenants are responsible for providing truthful and accurate information during registration and the screening process. Submitting false, forged, or misleading information — including forged identity documents or misrepresentation of employment or immigration status — may result in immediate account suspension and may constitute an offence under the Penal Code, the Computer Crimes Act 1997, or the Immigration Act 1959/63.

Tenants are responsible for honouring the terms of their tenancy agreement, making rental payments on time, and maintaining the rented premises in good condition.

Real estate negotiators (RENs) must be registered under a BOVAEP-licensed agency to use agent features on the Platform. Solo REN registration without a licensed agency affiliation is not permitted under Malaysian law or these Terms.

Agents represent and warrant that they hold a valid REN tag issued by the Board of Valuers, Appraisers, Estate Agents and Property Managers (BOVAEP) and are operating within the scope of their agency's licence at all times.

Commission records in the Platform are an audit trail only. Agents and agencies are solely responsible for ensuring their commission structures and disbursement practices comply with BOVAEP regulations, the Valuers, Appraisers, Estate Agents and Property Managers Act 1981, and Malaysian law. RentZhiin does not process or hold commission funds.

Tenant screening features, including credit checks facilitated via CTOS Data Systems Sdn Bhd, are conducted only with the explicit written consent of the tenant obtained during the application process. RentZhiin acts solely as a data intermediary and does not guarantee the accuracy, completeness, or timeliness of any screening report.

Owners must comply with the Personal Data Protection Act 2010 (PDPA) when processing screening data and may only use it for the purpose of evaluating a rental application. Screening data must not be disclosed to third parties or used for any other purpose.

Rent tracking and payment reference generation are provided as a record-keeping convenience only. RentZhiin does not hold, collect, process, or escrow any funds. All payments are made directly between tenants and owners (or their designated agencies) via FPX, DuitNow, bank transfer, or other agreed methods.

PRM is not a payment service provider and is not licensed by Bank Negara Malaysia as an e-money issuer or a remittance service operator. RentZhiin accepts no liability for failed, delayed, disputed, or unauthorised transactions between users.

Contractors listed on the Platform have undergone a basic verification process, but RentZhiin does not warrant the quality, safety, licensing, or legality of any work performed. Any contract for maintenance, renovation, or repair work is a direct agreement solely between the property owner and the contractor. RentZhiin is not a party to that contract and accepts no liability for any claims, damages, or disputes arising from contractor work.

You must not use the Platform to: post false, misleading, or fraudulent information; harass, threaten, or defame other users; attempt to gain unauthorised access to any account or system; transmit malware, spam, or harmful code; circumvent any security or access control measures; conduct money laundering or facilitate illegal financial activity; or violate any applicable Malaysian law including the Communications and Multimedia Act 1998, the Computer Crimes Act 1997, or the PDPA 2010.

You retain ownership of all data you input into the Platform, including property records, tenancy documents, and financial records. By using the Platform, you grant RentZhiin a limited, non-exclusive, royalty-free licence to store, process, and display your data solely for the purpose of providing the service.

PRM does not claim any ownership over your data, does not sell it, and will not use it for any purpose other than operating the Platform and as described in our Privacy Notice. You may request an export of your data at any time by contacting support@zenzhiin.com.

All software, design, trademarks, trade names, and content on the Platform (excluding user-uploaded data) are the property of ZenZhiin Venture Sdn Bhd or its licensors and are protected by Malaysian and international intellectual property laws. You may not copy, modify, distribute, sublicense, sell, or reverse-engineer any part of the Platform without prior written consent from RentZhiin.

The Platform is provided "as is" and "as available". RentZhiin makes no warranty — express, implied, or statutory — that the Platform will be uninterrupted, error-free, or free from viruses or other harmful components. RentZhiin does not warrant the accuracy, completeness, or suitability of any information provided through the Platform, including tenancy agreement templates, market data, or contractor listings.

To the maximum extent permitted by Malaysian law, RentZhiin's total aggregate liability to you for any claim arising out of or in connection with your use of the Platform shall not exceed the total subscription fees you have paid to RentZhiin in the three months immediately preceding the event giving rise to the claim.

PRM shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including loss of data, loss of profits or revenue, business interruption, or losses arising from disputes between users, even if RentZhiin has been advised of the possibility of such damages.

RentZhiin reserves the right to suspend or terminate any account that violates these Terms, engages in fraudulent or illegal activity, submits false information, or poses a risk to the safety or security of other users or the Platform. Where practical, RentZhiin will provide advance notice and reason for termination.

Upon termination, you may request an export of your data within 30 days. After this period, your data will be deleted in accordance with our Privacy Notice and applicable legal retention obligations. Termination does not entitle you to any refund except as set out in Section 5.

These Terms are governed by and construed in accordance with the laws of Malaysia. Any dispute, controversy, or claim arising out of or in connection with these Terms shall first be attempted to be resolved through good-faith negotiation between the parties within 30 days of written notice.

If a dispute is not resolved by negotiation, it shall be referred to binding arbitration under the Rules of the Asian International Arbitration Centre (AIAC), with the seat of arbitration in Kuala Lumpur, Malaysia, conducted in the English language. Nothing in this clause prevents either party from seeking urgent injunctive relief from a Malaysian court.

RentZhiin may update these Terms to reflect changes in law, Platform features, or business practices. We will notify you of material changes via email and an in-app notice at least 14 days before they take effect. Continued use of the Platform after the effective date constitutes your acceptance of the revised Terms. If you do not accept the changes, you must stop using the Platform and may cancel your subscription in accordance with Section 4.
